Job Summary:   The WE Receptionist is the first point of contact for our organization. Duties include welcoming guests, coordinating front desk activities, answering and redirecting phone calls and offering administrative support as needed. To be successful, the receptionist must have a pleasant personality, as this is primarily a customer service role.

Qualifications:

§  High school degree or equivalent required.

§  Must have comfort and aptitude to work with people of various backgrounds

§  Proven work experience as a Receptionist, Front Office Representative or similar role

§  Professional attitude and appearance

§  Solid written and verbal communication skills

§  Ability to be resourceful and proactive when issues arise

§  Excellent organizational skills

§  Multitasking and time-management skills, with the ability to prioritize tasks

§  Customer service attitude

Responsibilities:

§  Greet and welcome guests as soon as they arrive. During the pandemic, greeting includes taking the temperature of everyone entering the building and asking them the questions related to COVID exposure

§  Notify the appropriate staff person of any visitors and direct the visitors accordingly

§  Answer, screen and forward incoming phone calls

§  Ensure reception area is tidy and presentable

§  Provide basic and accurate information in-person and via phone/email

§  Receive, sort and distribute daily mail and deliveries

§  Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)

§  Observe the security cameras and let the security guard or appropriate manager know if there is anything suspicious

§  Deal with any emergencies in a timely and effective manner

§  Maintain the confidentiality of employees and persons served

Typical Working Conditions: 

Work is performed in an office environment. Work may require sitting for long periods of time. Requires manual dexterity sufficient to operate a computer, telephone, copier and other office equipment as necessary.  Requires normal range of hearing.  Involves contact with staff, persons served and the public.  

Work Hours:

This is a part time non-exempt position. Hours may vary, but typical work hours are 11:00 am – 3:00 pm, Monday thru Friday.
